Adjusting Print Settings

Accessing Printing/Data Entry Options

  1. Click on the Settings menu.
  2. Click on Printing/Data Entry.
  3. Choose the options you wish to use. Click OK. 

Options: 

  • Print W-2 Totals Return
    • Check this box to automatically print a page that contains the totals of all W-2s.
  • Print 1099 Totals Return
    • Check this box to automatically print a page that contains the totals of all 1099s.
  • Print only the last four digits of the TIN on recipient copies of 1099 & 1095 forms and Journals
    • Check this box to default masking of the Recipient SSN as XXX-XX-1234 or EIN as XX-XXX1234 on Recipient copies of 1099 and 1095 forms and Journals.
  • Open Payers & Recipient screen to the Payer List on program start
    • Check this box to automatically open the Payers & Recipients List window when starting the program.
  • Maximize Main Menu
    • The Main Menu can be displayed in two sizes; either as a small bar at the top of the screen or fully maximized.
    • Check this box to automatically maximize the display upon loading Yearli.
  • Auto Place Decimal Point
    • Check this box to automatically add a decimal point prior to the cents positions.
    • The automatic decimal point is added upon leaving a dollar field when an amount has been entered (two positions from right).
    • When the field is exited after a one-digit entry is made, a zero is added to prior to the entry (e.g. an entry of 1 is displayed as .01).
  • Default Data Entry Method
    • Select to use either Year End or Quarterly data entry.
  • Navigation Between Fields
    • Check to use either the Enter key or the Tab key to move between data entry fields in the software. 

Aligning Pre-Printed Forms

Forms may print incorrectly because incorrect form(s) are being used, the wrong printer driver is installed, or alignment is set incorrectly.

Check Form Compatibility

  • Ensure that the forms being used are approved for use with our software.
  • If you are using the correct forms make sure other programs print correctly.

Adjust Alignment

  1. Click on the Print Forms button.  
  2. Choose the form type to be printed.
  3. Click OK.
  4. On the print screen in the lower right corner there is a section titled “Adjust text alignment.”
    • Inside this box you can adjust the horizontal and vertical alignment.
    • Keep in mind the adjustment increment is only 1/1000th of an inch.
      • For example, to move the text to the right or down 1/4th an inch, enter 250 in the appropriate box.
    • Putting a minus(-) before the number will adjust it either left or up.

Update Print Drivers

Download the most recent printer drivers from the printer manufacturer’s website.

Printing Hangs and Does Not Complete

The default data format is incorrect. Change the local printer settings

  1. Close Yearli. 
  2. Access the Windows Run window by pressing the Windows key and R key on the keyboard.
  3. Type "control printers" without the quotes in the Open field.
  4. Click OK.
  5. Right click on the printer you are attempting to print and choose Printer Properties, or Properties in Windows Vista.
  6. Click on the Advanced tab.
  7. Click on the Printer Processor button.
  8. Verify that the Default data type is RAW.
  9. Locate the Graphics setting and verify that the True Type Font is set to Graphics.
    • If Graphics is not available, choose True Type as Bitmaps instead.
  10. Click OK to save changes.
  11. Close Printer Properties.
  12. Attempt to print in Yearli again.

Resource Not Available/Form Not Printable 

The finalized versions of the form is not yet available from the IRS. Wait for the applicable update to be released.

  1. Form W-2 is generally updated to print the current year's form in the Yearli Quarter 2 update.
  2. Form 1099 is generally updated to print the current year's form in the Yearli Quarter 3 update.
  3. Continue to check the Yearli program for updates. If an update is available, the program will prompt  you to apply the updates. We recommend applying updates as soon as they are available.

Fonts Appear Garbled and Corrupt when Previewed or Printed

The installed Yearli fonts have become corrupted. Reinstall Fonts.

  1. Restart the computer to ensure the fonts are not in use.
  2. Navigate to C:\Program Files or Program Files (x86)\Greatland Corporation\Yearli\20XX\Utilities\Fonts*, where the XX is the year of the software.
  3. Press Ctrl and A on the keyboard to select the fonts.
  4. Right click on the selected fonts and select Install.
  5. Open Yearli and verify the fonts are now working correctly by previewing or printing a form. If not, repeat the process. 

*The file directory will differ depending on the year of the program. Please see the Important Program Directories and File Locations article for more information.

Amounts are Rounded when Printing

The currency settings are not consistent with the program, or the latest update was not applied correctly.

Check the computer's currency settings

  1. Access the Windows Run window by pressing the Windows key and R key on the keyboard.
  2. Type "intl.cpl" without the quotes in the Open field. 
  3. Click OK.
  4. In Windows 7, 8 and 10, click Additional settings.
  5. In Windows Vista, click Customize this format.
  6. In the Numbers tab, set the No. of digits after decimal to 2.
  7. In the Currency tab, set the No. of digits after decimal to 2.
  8. Click OK.
  9. Delete and re-create the form in the program.

Reapply Database Updates

If you are using a network version of Yearli Desktop, these instructions will need to be followed on the server computer. Please check for program updates on the server computer prior to updating database, as database version will not exceed server program version.

If the Yearli icon is on the desktop

  1. Close your Yearli Desktop program.
  2. Go to your desktop, and locate the Yearli icon for the year you need.
  3. Right-click the Yearli icon, and click "Open File Location".*
  4. Locate and open the Utilities folder.
    • The Utilities folder is commonly located near the top of the window.
  5. Right-click the SQLUtility.exe, and choose "Run as Administrator".
  6. Click the "Create/Update Database" button at the top.
  7. Wait for the utility to finish. 
  8. In the white box on the left, scroll to the bottom of the text.
  9. If it says "Database successfully created", close the utility and launch the Yearli Desktop program.

If the Yearli icon is not on the desktop

  1. Close your Yearli Desktop program.
  2. Open the start menu, and locate the "Greatland Corporation" folder.
  3. Locate the Yearli 20XX entry, where XX is the year of the software.
  4. Right-click the Yearli 20XX entry, and select "Open File Location".
  5. In the folder that comes up, select the Yearli 20XX entry and click "Open File Location" again.*
  6. Locate and open the Utilities folder.
    • The Utilities folder is commonly located near the top of the window.
  7. Right-click the SQLUtility.exe, and choose "Run as Administrator".
  8. Click the "Create/Update Database" button at the top.
  9. Wait for the utility to finish.
  10. In the white box on the left, scroll to the bottom of the text.
  11. If it says "Database successfully created", close the utility and launch the Yearli Desktop program.

*If the program was installed with the default settings, please see the Important Program Directories and File Locations article for directory locations.

Blank Forms/Journals Not Printing

The printer driver is incompatible with the Yearli program.

Print to Another Printer

  1. In the Yearli program, click on the Print option.
  2. Choose the type of form you are printing and click OK.
  3. Click on Printer Setup.
  4. From the drop down menu, choose a different printer to print to.
  5. Click OK.
  6. Click Print.

Print to PDF or XPS

  1. In the Yearli program, click on the Print option.
  2. Choose the type of form you are printing and click OK.
  3. Click on Printer Setup.
  4. From the drop down menu, choose a PDF printer, or the Microsoft XPS Document Writer.
  5. Click OK.
  6. Click Print.
  7. Choose where to save the document, then click Save.
  8. Navigate to where the document was saved.
  9. Open and print the XPS or PDF document.

Change the Printer's Diver to a PCL 6 Printer Driver

  1. Determine the brand and model of your printer.
  2. Access the Windows Run window by pressing the Windows key and R key on the keyboard.
  3. Type "control printers" without the quotes in the Open field.
  4. Click OK.
  5. Right-click on the printer you are attempting to print to and choose Printer Properties.
  6. Click on the Advanced tab.
  7. From the Driver drop down menu, see if there is a PCL 6 driver for your brand of printer available. If there is, choose the PCL 6 printer driver. If there is not a PCL 6 printer driver:
    • Search the web for a universal PCL 6 driver for your printer's brand. If you are using an HP printer, you will use the HP Universal Printing PCL 6 driver.
    • After downloading and installing the appropriate printer driver, repeat steps 1-5 and choose the newly installed printer driver.
  8. Once the printer is using the correct printer driver, attempt to print blank forms from the Yearli program.

A Nested Exception Has Been Rethrown as an Exception

A printer function is incomplete and causes an error in Power Merge.

Restart Printer and Computer

  1. Turn off the printer.
  2. Shutdown the computer.
  3. Wait a few minutes.
  4. Restart the printer. 
  5. Restart the computer.
