Add or Manage Recipients

Using the Recipient List

You can select a recipient to work with returns. The Recipient List tab gives you access to editing the recipient information and and preparing W-2, 1099, and 1095 forms.

  • Select a recipient: To select a recipient click on the recipient's name.
    • The selected recipient will be highlighted in blue.
  • Add a recipient: Click the Add Recipient button on the Recipient List tab.
    • Enter the recipient information in the Manage Recipient window.
  • Edit a recipient: Highlight a recipient on the Recipient List tab.
    • The recipient's information can be edited in the Manage Recipient window to the right.
  • Delete a recipient: Highlight the recipient you would like to delete on the recipient List tab and click the Delete Recipient button.
    • You will be asked to confirm the deletion.
    • Deleting a recipient deletes all of the returns associated with the recipient.
  • Search for a recipient: Enter search criteria and select the magnifying glass.
    • The search will be performed across all columns on the Recipient List tab.
    • The Recipient List tab will show the results of search.
  • Sort the Recipient List: You can sort the Recipient List by any column.
    • Choose the sort order by clicking on the column heading.
    • An arrow appears in the heading to indicate ascending or descending order.
    • Columns can be displayed in a custom order by clicking and dragging the column heading.

Things to note:

  • The Recipient List is the left portion of the screen that lists all of the recipients you have entered.
    • You can adjust the width of the column in the Recipient List section by clicking on and dragging the column lines between column headings.
    • You can also scroll to the left and down using the scroll bars.
  • Only one recipient can be highlighted at a time.
  • The Form List displays all of the returns currently entered for the highlighted recipient.
    • Double click the row for the return you would like to edit.
    • By clicking on the buttons directly above or to the right of the Form List, you can add or delete returns.

Adding Recipients

  1. Click the Payer List button.
  2. Double click on the payer name.
  3. Click Add Recipient.
  4. Fill in the necessary fields.
  5. Click Save.

For E-Filing, the recipient address field is required. This screen should include all recipient information that needs to appear on the printed returns and forms.

Editing a Recipient

  1. Click the Payer List button.
  2. Double click on the payer name.
  3. Choose the recipient to be edited.
  4. Make the necessary changes to the fields.
  5. Click Save.

Entering Foreign Address Information for a Recipient

  1. Click the Payer List button.
  2. Double click on the payer name.
  3. Check the Foreign Address checkbox.
  4. Choose the applicable country from the drop down menu.
  5. Enter the City, State (or Province), and Postal Code.
  6. Click Save.

Adding or Editing Recipient Notes

Recipient Notes will not be printed on any form or journal.

  1. Click the Payer List button.
  2. Double click on the payer name.
  3. Choose a recipient.
  4. Click the Recipient Notes button.
  5. Enter the applicable recipient notes.
  6. Click OK.

Copying Recipient Information to Another Payer

  1. Click the Utilities menu.
  2. Choose Copy Recipients to Multiple Payers.
  3. Choose the recipient you would like to copy to another payer.
  4. Click Next.
  5. Choose the payer to which you would like the recipient copied.
  6. Click Copy.

Searching for a Recipient

  1. Click on the Payer List button.
  2. Double click on the payer name.
  3. On left, above the list of recipients, click the column heading to sort the information by (ex: TIN, Name, Misc. Search).
    • To reverse the order, click the column heading again.
  4. The sorted results will appear on the left.

Deleting a Recipient

Deleting recipients is permanent and cannot be reversed.

  1. Click the Payer List button.
  2. Double click on the payer name.
  3. Choose the recipient to be deleted.
  4. Click the Delete Recipient button.

Deleting Multiple Recipients

Deleting recipients is permanent and cannot be reversed.

  1. Click on the Payer List button.
  2. Choose the payer whose recipients will be deleted.
  3. Close the Payers & Recipients window.
  4. Click on the Utilities menu.
  5. Choose Delete Multiple Recipients.
  6. Choose the recipient(s) to be deleted.
    • To select multiple recipients press and hold the Shift or Ctrl key and click in the gray grid area on the left of the recipient TIN for each recipient you wish to select.
    • All recipients can be selected by pressing the Ctrl and A keys on the keyboard or by checking the Select All Recipients box.
  7. Click Delete.
  8. Click Yes to confirm the deletion process.
  9. Click OK.

Deleting Multiple Recipients With No Returns

Deleting recipients is permanent and cannot be reversed.

  1. Click on the Utilities menu.
  2. Choose Delete Recipients With No Returns.
  3. Choose the payer(s).
    • To choose multiple payers press and hold the Shift or Ctrl key and click in the gray grid area on the left of the payer TIN for each payer you wish to select.
    • All payers can be chosen by pressing the Ctrl and A keys on the keyboard or by checking the Select All Payers box.
  4. Choose the recipients to be deleted from the Recipients Without Returns window.
    • To choose multiple recipients press and hold the Shift or Ctrl key and click on the recipient you wish to select.
    • All recipients can be selected by checking the Select All Recipients box.
  5. Click on Delete.
  6. Choose Yes to confirm the recipient deletion process.
  7. Click OK.
