Available Reports

Payer Journal

The Payer Journal is a report that contains basic information about the payers in the software. You can select to display All Payers, Payers with W-2 Returns, or Payers with 1099 Returns.

The journal contains the following information:

  • Payer TIN.
  • Payer name.
  • Payer address.
  • Payer telephone number.
  • Total number of forms created for the payer, by form type.
  • Grand total of forms by form type for all payers.

Printing a Payer Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose Payer.
  4. Choose the payer(s) to print the journal for.
    • To select multiple payers press and hold the Shift or Ctrl key and click in the gray grid area on the left of the payer TIN for each payer you wish to select.
    • All payers can be selected by checking the Select All Payers box.
  5. Click Preview to preview the journal or Print to print the journal.

Recipient Journal

The Recipient Journal is a report that contains basic information about the recipients in the software.

The journal contains the following information:

  • Recipient TIN.
  • Recipient name.
  • Recipient address.
  • Type of return entered for each recipient.

Printing a Recipient Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose Recipient.
  4. Choose the Recipient(s) to print the journal for.
    • The Recipient Name list displays all recipients for the selected payer.
    • To select multiple recipients press and hold the Shift or Ctrl key and click in the gray grid area on the left of the recipient TIN for each recipient you wish to select.
    • All recipients can be selected by checking the All Recipients box.
  5. Click Preview to preview the journal or Print to print the journal.

Returns Journal

The Returns Journal is a report that displays the total dollar amounts entered for all box/amount types on each recipient's returns for the selected payer.

The journal contains the following information:

  • Summary section.
  • Summing all dollar amounts for all recipients.

Printing a Returns Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose Returns.
  4. Choose the Type of Return.
  5. Choose the Recipient(s) to print the journal for.
    • To select multiple recipients press and hold the Shift or Ctrl key and click in the gray grid area on the left of the recipient TIN for each recipient you wish to select.
    • All recipients can be selected by checking the All Recipients box.
  6. Click Preview to preview the journal or Print to print the journal.

Some things to be aware of:

  • The Select Type of Return list displays only the returns currently entered for the selected payer.
  • As you click the different return types, the Recipient List will display only those recipients that have the highlighted return type.
  • You can print the Returns Journal for all recipients that have the highlighted return or for selected recipients that have the highlighted return.
  • When the Type of Return is W-2G, you may select a range of dates in the Distribution Date section.

Transactions Journal

The Transactions Journal is a report that displays the dollar amounts entered in each transaction for each recipient, as well as a subtotal section for each recipient and a summary section for the payer by quarter. The journal gives the ability to select the specific return type and date range for the report.

The Transactions Journal contains the following information:

  • Transaction date.
  • Recipient name.
  • Recipient TIN.
  • Payer name.
  • Payer TIN.
  • Dollar amount entered for each field on each transaction.

Printing a Transactions Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose Transactions.
  4. Choose the Type of Return.
  5. Choose the level of detail to be displayed on the journal.
    • Show Transaction Detail: This report will show transactional details for each recipient for the selected payer.
    • Summarize by Recipient: This report will show totals by recipient for the selected payer.
    • Show Totals Only: This report will show overall totals for the selected payer. It will not be broken up by recipient.
  6. Choose the recipient(s) to print the journal for.
    • To select multiple recipients press and hold the Shift or Ctrl key and click in the gray grid area on the left of the recipient TIN for each recipient you wish to select.
    • All recipients can be selected by checking the All Recipients box.
  7. Click Preview to preview the journal or Print to print the journal.

Some things to be aware of:

  • The Select Type of Return list displays only the returns currently entered for the selected payer.
  • As you click the different returns, the Recipient List will display only those recipients that have the highlighted return.
  • Use the Dates box in the lower left of the window to print a Transaction Journal for any quarter, the year to date, or any range of dates.

Pro Forma Journal

The Pro Forma Journal displays a report of all available amount types for the specific return for each recipient. The actual dollar amounts are blank, to be filled in by hand to allow for future data entry.

Printing a Pro Forma Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose Pro Forma.
  4. Choose the payer(s) to print the journal for.
    • To select multiple recipients press and hold the Shift or Ctrl key and click in the gray grid area on the left of the recipient TIN for each recipient you wish to select.
    • All recipients can be selected by checking the All Recipients box.
  5. Choose the desired return type(s).
    • If you highlight more than one return type, more than one Pro Forma journal will print.
  6. Click Preview to preview the journal or Print to print the journal.

Some things to be aware of:

  • The Payer Name list lists all payers. The Return Types list lists the return types for the highlighted payer's recipients.
  • You can filter out all payers who do not have recipient returns by selecting the payers with recipient returns only option in the Display menu on the right of the window.

SUI Journal

The SUI Journal displays the wages and SUI (state unemployment insurance) Tax for each transaction entered for each recipient under the selected payer; results are organized by state. The journal gives the ability to select the recipients and date range to be reported on.

The report includes the following information:

  • Payer name.
  • Payer TIN.
  • State ID for SUI.
  • SUI Wage Max.
  • SUI Rate.
  • Recipient name.
  • Recipient TIN.
  • Subject Wages, Taxable Wages and SUI Tax per transaction, per state.
  • Number of transactions for each quarter per Payer, per state.
  • Total number of transactions entered for the Payer, per state.

Printing a SUI Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose SUI.
  4. Choose the level of detail to be displayed on the journal.
    • Show Transaction Detail: This option will show details for each transaction entered for each recipient.
    • Summarize by Recipient: This option will show all transactions as one totals for each recipient.
    • Show Totals Only: This report will show overall totals for the selected payer. It will not be broken up by recipient.
  5. Choose the appropriate quarter or date range.
  6. Choose the recipient(s) to print the journal for.
    • To select multiple recipients press and hold the Shift or Ctrl key and click in the gray grid area on the left of the recipient TIN for each recipient you wish to select.
    • All recipients can be selected by checking the All Recipients box.
  7. Click Preview to preview the journal or Print to print the journal.
    • If the "Confirm" message box for SUI appears, choose Yes or No.

Some things to be aware of:

  • The SUI Journal Window contains the Recipient List, which will display all of the recipients available for the selected payer.
  • A date/quarter must be selected from the Dates section.
    • To select a date/quarter, select the appropriate radio button on the left side of the window.
    • The quarter selected will specify which transactions to include in the calculation of the SUI Journal.
    • Only the transactions that occur in the selected period will be calculated.

FUTA Journal

The FUTA Journal displays the wages and FUTA (federal unemployment tax act) Tax for each transaction entered for each recipient under the selected payer. The journal also includes a quarterly and annual summary and gives the ability to select the recipients and date range to be reported on.

The report includes the following information:

  • Payer name.
  • Payer TIN.
  • Federal Wage Base for the current tax year.
  • Recipient name.
  • Recipient TIN.
  • Subject Wages, Taxable Wages and FUTA Tax per transaction.
  • Number of transactions for each quarter per payer.
  • Total number of transactions entered for the payer.

Printing a FUTA Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose FUTA.
  4. Choose the level of detail to be displayed on the journal.
    • Show Transaction Detail: This option will show details for each transaction entered for each recipient.
    • Summarize by Recipient: This option will show all transactions as one totals for each recipient.
    • Show Totals Only: This report will show overall totals for the selected payer. It will not be broken up by recipient.

  • The FUTA Journal Window contains the Recipient List, which will display all of the recipients available for the selected payer.
  • A date/quarter must be selected from the Dates section.
    • To select a date/quarter, select the appropriate radio button on the left side of the window under the Detail Option section.
    • The quarter selected will specify which transactions to include in the calculation of the FUTA Journal.
    • Only the transactions that occur in the selected period will be calculated.

W-2 Summary Journal

The W-2 Summary Journal displays a report of the total dollar amounts entered for all W-2s in the selected payer (similar to W-3 information), organized by the Government Agencies selected. Gives the ability to select the payer(s), Federal, and state agencies for the report.

This journal contains the following information:

  • Payer name.
  • Payer TIN.
  • Total number of employees.
  • Number of W-2 forms.
  • Total amount entered in Gross Wages.
  • Total amount entered in Medicare and Social Security Wages.
  • Total amount entered in Medicare and Social Security Withheld.

Printing a Payer Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose W-2 Summary.
  4. Choose the payer(s) to print the journal for.
    • To select multiple payers press and hold the Shift or Ctrl key and click in the gray grid area on the left of the payer TIN for each payer you wish to select.
    • All payers can be selected by checking the Select All Payers box.
  5. To sort the journal by Federal, State, and/or Localities, check the agency in the Include Agencies group box.
  6. Federal will print a W-2 Summary Journal of Federal amount types for the selected payer(s).
  7. State or Locality will print a W-2 Summary Journal of state and/or local wages and tax withheld for each state and/or locality found on the W-2 returns for the selected payer(s).
  8. Click Preview to preview the journal or Print to print the journal.

1099 Summary Journal

Corrected 1099s are not included in this journal.

The 1099 Summary Journal displays a report of the total dollar amounts entered for all 1099s in the selected payer (similar to 1096 information), organized by the Government Agencies selected. The journal gives the ability to select the payer(s), Federal, and state agencies for the report.

This journal contains the following information:

  • Payer name.
  • Payer TIN.
  • Total number of employees.
  • Number of 1099 forms.
  • Total amount entered in each available field on the 1099 forms.

Printing a 1099 Summary Journal

  1. Click on the Print drop down menu.
  2. Choose Journals.
  3. Choose 1099 Summary.
  4. Choose the Payer(s) to print the journal for.
    • To select multiple payers press and hold the Shift or Ctrl key and click in the gray grid area on the left of the payer TIN for each payer you wish to select.
    • All payers can be selected by checking the Select All Payers box.
  5. Choose the Return type(s) to print the journal for.
    • To select multiple return types press and hold the Shift or Ctrl key and click on the return type you wish to select.
    • All return types can be selected by checking the Select All Return Types box.
  6. To sort the journal by Federal, State, and/or Localities, check the agency in the Include Agencies group box.
  7. Federal will print a 1099 Summary Journal of Federal amount types for the selected payer(s).
  8. State or Locality will print a 1099 Summary Journal of state and/or local wages and tax withheld for each state and/or locality found on the 1099 returns for the selected payer(s).
  9. Click Preview to preview the journal or click Print to print the journal.
