What Is Online Retrieval?

Online Retrieval is a service offered by Yearli that allows the recipient to log into a secure website to obtain a copy of their W-2, 1099, or 1095 form. This feature is available when a filing service that includes Recipient Print & Mail is selected.

You can enter the email address of the recipient on the recipient information screen. The Online Retrieval service is optional; this allows you to enter as many or as few email addresses as you wish.

Online retrieval is only an option when print and mail is enabled. This means your recipient will get a physical copy as well as the email copy. It is not possible to suppress the physical copy to send only the email copy, but if you leave the recipient email address out, it is possible to send only the physical mailing and not the email.

What Recipients Will Experience

Shortly after the forms have been submitted, your recipient(s) will receive an email with the subject line of "IMPORTANT TAX RETURN DOCUMENT AVAILABLE" from the following email sender: Online Form Retrieval <mail@onlineformretrieval.com>. The body of the email will explain that you, the payer, have created a form for that recipient. A link will be available for the recipient to click and they will be prompted to enter the last four digits of their SSN/TIN in order to access their specific wage form. The recipient will be able to print or save valid copies of their form immediately.

Edit Email Addresses or Send Additional Retrieval Emails

  1. Launch the Yearli Desktop program.
  2. Click E-file center at the top.
  3. Click "Resend online retrieval emails".
  4. Choose the payer and click "next".
  5. Check the box next to any return types you want included, and click "next".
  6. Check the box next to any recipients you want re-sent.
    • If needed, add or edit the email address in the field.
  7. Click "send".
